About the role

To provide high-quality administrative and customer service support to, acting as a professional and welcoming first point of contact for participants, referral partners and other stakeholders. The post holder will support the effective management of enquiries and referrals, responding to telephone, email and online enquiries, providing accurate information about the programme, processing and recording referrals, arranging appointments and maintaining regular contact with prospective participants to support their engagement with the service. Working closely with Employment Specialists and the wider Connect to Work team, the post holder will maintain accurate records within the Connect to Work CRM and support the smooth progression of participants from initial enquiry or referral through to allocation and engagement with the appropriate member of the team. The post holder will undertake the Level 3 Business Administrator Apprenticeship, developing a broad and transferable range of administrative, customer service, communication, digital and organisational skills. This is a developmental role, with appropriate training, supervision and support provided throughout the apprenticeship.

SPECIFIC DUTIES

1. Respond promptly, professionally and sensitively to enquiries from prospective participants, referral partners, employers and other stakeholders by telephone, email, online systems and face-to-face.

2. Provide clear and accurate information about the Connect to Work programme, including the support available, referral process and next steps, escalating more complex enquiries to the appropriate member of the team.

3. Receive, process and accurately record participant referrals, ensuring information is entered promptly onto the Connect to Work CRM and other relevant systems.

4. Review incoming referrals for completeness, identify missing information and liaise with participants, referral partners or colleagues to obtain the information required to progress the referral.

5. Contact prospective participants following an enquiry or referral, arrange initial appointments and provide relevant information to support their engagement with the programme.

6. Undertake appropriate follow-up contact with prospective participants who have not responded or attended appointments, recording all contact and outcomes accurately.

7. Support the allocation and handover of participants to Employment Specialists and other members of the Connect to Work team, ensuring relevant information is available and appointments are communicated effectively.

8. Maintain accurate, timely and comprehensive records of enquiries, referrals, appointments, communications and participant activity in accordance with programme and organisational requirements.

9. Provide general administrative support to the Connect to Work team, including appointment coordination, correspondence, document preparation, information requests and other routine administrative activities.

10. Deliver a welcoming, inclusive and professional customer experience, recognising that participants may have different communication needs, disabilities, health conditions or other barriers to engaging with services.

11. Handle personal and sensitive information appropriately, maintaining confidentiality and complying with data protection, information governance and organisational requirements at all times.

12. Work collaboratively with Employment Specialists, administrators, referral partners and other colleagues to support an efficient referral process and a positive participant journey from initial contact through to engagement with the programme.

13. Undertake off-the-job training and successfully complete all elements of the Level 3 Business Administrator Apprenticeship, including learning activities, assessments, progress reviews and the application of learning within the workplace.

6. Maintain confidentiality and handle personal and sensitive information responsibly, complying with data protection, information governance and organisational requirements.

7. Reflect on your own performance, respond positively to feedback and actively participate in learning, supervision and professional development throughout your apprenticeship.

8. Attend and actively participate in team meetings, supervision, apprenticeship progress reviews, training and other meetings relevant to the role.

9. Comply with The Restore Trust’s policies, procedures and guidelines together with relevant legislation and the requirements of funding bodies and contractual partners, including the Department for Work and Pensions (DWP) and West of England Mayoral Combined Authority.

10. Promote equality, diversity and inclusion, treating all individuals with dignity, respect and fairness and supporting equitable access to The Restore Trust’s services.

11. Work positively and flexibly as part of the wider Restore Trust team, supporting colleagues and contributing ideas that improve the participant experience and the effectiveness of the service.

13. Be willing to work flexibly across Restore Trust and partner delivery locations where reasonably required as part of the role.

14. Undertake such other duties and responsibilities, appropriate to the developmental level and purpose of the apprenticeship, as may reasonably be required to support the effective operation of The Restore Trust and the Connect to Work programme.

Training

You will undertake the ground-breaking Professional Apprenticeships Business Administrator Level 3 qualification.
