About the role
We are looking for a Business Administration Apprentice to join the team and provide administrative and coordination support across the business, with a particular focus on supporting the Business Development function.
You will work closely with the leadership and Business Development teams to help keep business development activity organised, accurate and moving forward. This will include maintaining records and systems, preparing documents and presentations, coordinating meetings, recording actions, supporting communications and producing information and reports.
The role will provide broad experience of business administration within a growing agency environment. You will develop practical skills in organisation, communication, document production, data management, project coordination and process improvement, while working towards a Level 3 Business Administrator Apprenticeship.
You will not be expected to sell to prospective clients or independently pitch for new business. Instead, you will provide the administrative and organisational support that enables the Business Development team to operate effectively.
Key responsibilities
Business Development Administration
- Provide administrative support to the Business Development and leadership teams.
- Maintain accurate and up-to-date records of prospective clients, opportunities and business development activity within the company's CRM system.
- Assist with keeping the business development pipeline organised and ensuring relevant information and actions are recorded correctly.
- Prepare and update documents, presentations, proposals and other materials using existing templates and guidance.
- Assist with the preparation of information required for client and prospect meetings.
- Take accurate notes during meetings and produce clear action points and follow-up records.
- Monitor agreed actions and deadlines, escalating where appropriate to ensure tasks are followed up.
- Help organise internal and external meetings, including scheduling, preparing materials and coordinating attendees.
- Support the organisation of business development events, exhibitions and meetings, including logistics and administration.
- Maintain organised electronic records and filing systems relating to business development activity.
Data, Systems and Reporting
- Maintain accurate information within CRM and other business systems.
- Record and update relevant activity, contacts, meeting notes, opportunities and follow-up actions.
- Assist with producing regular reports and summaries for the leadership team.
- Carry out basic data analysis to identify trends, activity levels and information that may help the team make informed decisions.
- Help ensure business information is accurate, complete and stored appropriately.
- Identify opportunities to improve the way information is recorded, organised and accessed.
- Learn to use relevant business software and digital tools effectively, including CRM systems, Microsoft Office/Google Workspace and presentation tools.
Document and Presentation Support
- Create, format and update professional documents, presentations and reports.
- Adapt existing pitch and presentation materials in line with company templates and guidance.
- Assist with preparing case studies and other business documentation by gathering and organising information from internal teams.
- Proofread documents and check information for accuracy before they are shared externally.
- Maintain an organised library of templates, case studies, presentations and other business development resources.
Marketing and Communications Support
- Provide administrative support for the company's marketing and communications activity.
- Assist with coordinating the production and scheduling of content for company communication channels.
- Help maintain records of marketing activity and published content.
- Support the preparation of newsletters, website updates, case studies and other communications.
- Assist with gathering information and results from internal teams to support marketing and communications activity.
- Support the organisation and maintenance of digital content and marketing assets.
- Develop an understanding of how professional written and digital communication supports wider business objectives.
General Business Administration
- Provide general administrative support to the wider business when required.
- Organise information, files, records and documentation in accordance with company procedures.
- Assist with diary management, meeting coordination and other administrative tasks.
- Support the planning and coordination of small projects and business activities.
- Manage your own workload, prioritising tasks and meeting agreed deadlines.
- Communicate professionally with colleagues, suppliers, clients and other stakeholders.
- Follow company procedures relating to confidentiality, data protection and the appropriate handling of business information.
- Look for opportunities to improve administrative processes and make practical suggestions to improve efficiency.
Learning and development
As a Business Administration Apprentice, you will receive structured training and support to develop the knowledge, skills and behaviours required of a Level 3 Business Administrator.

What we're looking for
We are looking for someone who is organised, reliable and keen to learn. You do not need previous experience in Business Development, marketing or TikTok Shop.

Experience with PowerPoint, Google Slides, Canva, Microsoft Office, Google Workspace or CRM systems would be useful, but is not essential as training will be provided.
You do not need previous TikTok Shop experience. You will be given an introduction to the platform and the agency's services as part of your wider understanding of the business.
Training
During this advanced apprenticeship, you will learn a vast range of knowledge, skills and behaviours, covering topics such as project management, systems & processes, business structures and so much more.
You will undertake the ground-breaking Professional Apprenticeships Business Administrator Level 3 qualification. Professional Apprenticeships hold the title of Bristol and Bath Apprenticeship Training Provider of the Year for 2021. They also boast the highest Ofsted rating, which only a select few training providers in the region have.
