About the role

Job summary

An exciting opportunity has arisen for a Team Administrator position within the Trust Headquarters Executive Administration Team. We are looking for an enthusiastic, motivated, and hard-working individual to join our team to provide an efficient and effective administration service to support the smooth running of our Trust Headquarters.

The role will involve general reception duties, along with a wide range of office procedures, meeting administration, and transactional processes. This role will require high levels of confidentiality, attention to detail, and the ability to work in a fast-moving and sometimes highly pressurised environment.

Main duties of the job To provide a welcoming and professional reception to Trust Headquarters and to ensure both telephone and personal/physical enquiries are dealt with in a prompt, polite, calm, confidential and efficient manner.

To provide administrative duties, including taking or relaying accurate messages, dealing with incoming and outgoing post, photocopying, room/hot-desking bookings and assisting with the effective dissemination of information as appropriate.

To respond to queries and incoming calls on a daily basis, which may be non-routine and can sometimes involve information on emotional and distressing circumstances, ensuring prompt attention in a professional and sensitive manner, assessing situations and seeking further information/support where required.

To provide an efficient and effective administrative support service to the Executive Administration Team, completing work as delegated by the Personal Assistants.

To provide administrative support to the Mental Health Act and Legal Services Team in order to effectively process time-sensitive legal documentation and upload this onto the patient record system.

To be the central point of contact for administrative needs for a number of corporate heads of service and provide efficient and effective administration support in response to duties commensurate with

the role

To provide administration support for tier four and five meetings, including preparation and distribution of meeting agendas and papers and completion.

Qualifications

Essential English 'O' level / GCSE or equivalent.

Desirable NVQ Level 3 or equivalent qualification plus experience Experience Essential Experience working within office function and ability to support a busy team Data entry and extraction from electronic data bases Conversant with Microsoft Office, particularly Word / Excel / PowerPoint / electronic diary management etc.
