About the role

Job summary

The Receptionist / Administrator plays an important role in the smooth and effective running of the practice. The postholder will provide a professional, efficient and welcoming service to patients and support the clinical and administrative teams with a wide range of reception and administrative duties.

The role requires excellent communication and organisational skills, the ability to work calmly in a busy environment, and a commitment to maintaining patient confidentiality. The postholder will be expected to work flexibly as part of the wider practice team and contribute to providing a high standard of patient care.

Main duties of the job Act as a first point of contact for patients and visitors, providing a friendly, professional and helpful service. Answer incoming telephone calls promptly and professionally and deal with enquiries in accordance with practice procedures.

Signpost patients to the most appropriate member of the practice team or service, following agreed practice protocols. Provide patients with appropriate information about practice services and procedures. Manage patient requests and queries, ensuring they are passed to the appropriate person where further action is required.

Deal sensitively and appropriately with patients who may be anxious, distressed, frustrated or unwell. Maintain an awareness of patients who may require urgent assistance and escalate concerns promptly to an appropriate clinical colleague. Undertake general administrative duties to support the day-to-day operation of the practice.

Accurately enter, update and retrieve information from the practice clinical system. Receive and process patient requests relating to repeat prescriptions. Maintain confidentiality at all times and only access information necessary for carrying out their duties.

Comply with UK GDPR, the Data Protection Act 2018, NHS information governance requirements and practice policies. Ensure patient information is handled, stored and communicated securely. Maintain appropriate confidentiality when speaking with patients at reception, by telephone or through electronic communication.

We are a large practice (16000 patients) with a multi-disciplinary team that includes 4 partners, salaried GPs, advanced nurse practitioners, paramedics, physiotherapist, pharmacists, dispensers and a large admin team.

It is always very busy but we are a close, very supportive team who do our best to provide the best service possible for our patients.

This is a full-time medical receptionist/administrator post which will be initially a fixed term contract of one year to cover maternity leave. The successful applicant will deal with patients on a face-to-face and by telephone.

Administrative duties include entering data into the patient's record, sending invitations, processing repeat prescriptions and liaising with members of the team and outside agencies. The successful applicant must have excellent communication and organisational skills and be able to work comfortably in a high pressure environment.
