Balfour Beatty has an exciting opportunity for a Team Assistant to join our growing team in London

As a Team Assistant you will provide administrative support for Senior Finance Team to contribute to the effective running of their priorities

What you'll be doing

  • Support for Senior Members of Finance and Audit & Risk Leadership Team with

potential for support of Associate General Counsel - Corporate

  • Complex diary management and coordination of internal and external meetings
  • Coordination of Board and Committee activities in conjunction with Exec PA

Team, including meeting packs, actions and follow ups

  • Organisation of bank meetings, surety meetings and wider external stakeholder

engagement

  • Planning and coordination of site visits and leadership activities
  • Organising Business Travel (UK and International
  • Expenses and general administration including management of Purchase

Orders (POs)

  • Team administration, onboarding and access management; desk booking
  • Ad hoc requests to support the business

Who we're looking for

Key Skills

  • Outstanding organisational and planning skills with the ability to manage

multiple priorities and deadlines.

  • Strong diary, calendar and meeting management skills, including scheduling

complex appointments and coordinating across multiple stakeholders.

  • Excellent verbal and written communication skills.
  • High attention to detail and accuracy.
  • Strong problem-solving ability and a proactive approach to identifying and

resolving issues.

  • Ability to work independently while maintaining strong collaboration with

teams.

  • Confidentiality, discretion and professionalism when handling sensitive

information.

  • Effective relationship-building and stakeholder management skills.
  • Time management and prioritisation skills in a fast-paced environment.
  • Event planning and coordination capability, including leadership meetings,

workshops and team events.

  • Typing speed in excess of 50wmp
  • Advanced knowledge of Microsoft Office 365 applications, including

Outlook, Word, Excel, PowerPoint and Teams.

Knowledge

  • Awareness of confidentiality, data protection and information security

requirements.

  • Understanding of office administration procedures and business support

processes.

  • Knowledge of travel booking, expense management and procurement

processes.

  • Familiarity with document management, records management and filing

systems.

  • Knowledge of internal communication and stakeholder engagement

practices.

Typical Experience

  • Previous experience supporting senior managers, directors or leadership

teams in an administrative, Team Assistant, Executive Assistant or Personal

Assistant capacity.

  • Experience managing complex diaries, meetings and travel arrangements.
  • Assistance in formatting presentations, reports and business

correspondence.

  • Experience coordinating team activities, events and meetings.
  • Experience managing confidential information with discretion and

professionalism.

  • Experience liaising with internal and external stakeholders at all levels.
  • Experience working within a corporate, professional services, engineering,

construction, finance or similar business environment.
