We have an exciting opportunity for an organised and people focused Coordinator to join our Outpatients team at The London Clinic.
You will be a key point of contact for patients, visitors, consultants and colleagues. By coordinating daily clinic activity and providing reliable administrative support, you will help create a welcoming environment and ensure patients receive a smooth and professional service.
A little about the role
Our Outpatients department supports patients who visit The London Clinic for consultations, tests, treatment or follow up care without needing to stay overnight in hospital. Our clinics operate across several London Clinic sites and cover a wide range of medical specialities.
As a Coordinator, you will be a key point of contact for patients, visitors, consultants and colleagues. You will help patients feel welcomed and supported while ensuring the day runs smoothly behind the scenes.
This is a busy and varied role where you will prepare clinics, coordinate patient documentation, support patient registration and maintain an overview of daily activity. You will also assist with medical records, pathology results, stock management and general department administration.
Working closely with nurses, consultants, secretaries and booking teams, you will respond to changing priorities and help provide a safe, efficient and well organised outpatient service.
What you’ll be doing
- Coordinate daily clinic activity and respond to changing priorities to help the department run smoothly.
- Welcome patients and visitors, answer queries and provide a professional and supportive service.
- Prepare clinic documentation and update patient records accurately.
- Work closely with consultants, nurses, secretaries and booking teams to coordinate patient appointments and care.
- Use Microsoft Office and electronic administration systems to maintain records and produce reports.
- Identify and resolve routine issues, escalating more complex concerns to the appropriate team.
- Handle confidential patient information securely and in line with Clinic policies.
- Consulting Room audits and maintenance of furniture and equipment
- Liaise with Finance and troubleshoot finance enquiries
What are we looking for?
- Previous experience in a patient facing administrative or coordination role, ideally within healthcare, private healthcare or a high-quality hospitality environment.
- A warm and professional approach, with the confidence to support patients who may feel anxious or uncertain.
- Strong organisational skills and the ability to manage several priorities in a busy environment.
- Clear and sensitive communication skills when working with patients, relatives, consultants and colleagues.
- Excellent attention to detail when preparing documents and maintaining patient records.
- Confidence using Microsoft Office and electronic administration systems.
- The ability to work independently, use your initiative and contribute positively to the wider team.
