About the role

This is a 12 month fixed term maternity cover role.

We are seeking an experienced Administrator with a strong focus on Temporary Staffing but also supporting across all services to include Medical and General Recruitment.

The role is based at St Marks Hospital, Northwick Park, currently with an on‑site presence required two days per week and the remainder of the time working remotely from home.

The Band 3 Recruitment Administrator provides comprehensive administrative support for recruitment processes within the NWL Recruitment Hub, covering Agenda for Change (AFC), medical recruitment, and bank recruitment. The role operates within the shared service across the APG (Acute Provider Group) and ensures efficient, accurate, and timely handling of candidate applications and onboarding activities through the use of the TRAC recruitment system. This position contributes to a positive candidate experience and supports the wider recruitment team in delivering recruitment objectives across multiple staff groups within the APG.

With guidance and supervision from the team leader undertake tasks related to recruitment and onboarding including NHS-standard pre-employment checks for new starters and organising induction bookings.

Process recruitment documentation such as applications, references, and compliance checks for Agenda for Change (AFC), medical and dental, and bank candidates using the TRAC system. Maintain accurate records across TRAC, NHS Jobs, and other NHS recruitment platforms to track candidate progress for all staff groups within the Acute Provider Group (APG).

Provide support to the team leader in the setting up of interviews, assessment centres, communicating with candidates and hiring managers to ensure a good candidate experience. Including sending invitations and ensuring that candidates are booked in time for interviews.

Assist in onboarding by preparing offer letters, work schedules, contracts, and induction documents using TRAC. Draft and send employment-related letters as required, ensuring accuracy and timeliness.

Support the teams to ensure that pre-employment checks are completed in a timely manner, including right to work, visa status, DBS, GMC registration, qualifications, references, occupational health, and fitness to practise for new starters.

The Hillingdon Hospitals NHS Foundation Trust is the only acute Hospital in the London Borough of Hillingdon and offers a wide range of services including accident and emergency, inpatient care, day surgery, outpatient clinics and maternity services. The Trust’s services at Mount Vernon Hospital include routine day surgery, delivered at a modern treatment centre, a minor injuries unit and outpatient clinics.
